Technology Support for Retirees

When an individual retires from Indiana State University, there are five areas of technology use that are changed as of the individual’s retirement date. These are detailed below. If you are continuing to work at Indiana State after retirement, please see the section "Retirees who continue to work" at the bottom of this page.

E-mail
What changes?
Retirees will be able to continue to use their ISU e-mail account; however, as of the retirement date they will stop being covered by the ISU Microsoft license, so they will only be able to access their e-mail using the web at webmail.indstate.edu.

What does this mean?
Retirees will continue to receive e-mail at the indstate.edu account; however, Webmail has fewer capabilities and is judged by some to be more difficult to use than the full Outlook client, which is what most people use on campus.

Note for faculty: The Provost has asked that OIT provide each faculty retiree with a one-time license for Outlook, using Office365; this license is being paid for by ISU, and it will last for four years. There is no renewal.

What should I do to get this?
Faculty retirees should contact OIT TSC at 812-237-2910 and request a copy of Outlook software using Office 365 before retirement.

Personal files stored on the ISU network
What changes?
On your retirement date, your access to the ISU network is disabled.

What should I do?
If you have personal files stored on the network, you should copy these to an external hard drive or flash drive before your retirement date, so you can then copy them to your personal computer.


Access to systems such as Blackboard and Banner
What changes?
On your retirement date, your access to systems such as Blackboard and Banner is disabled. Your course information is retained in the system for 18 months.

What should I do?
Since in most cases there is no need for you to access these systems after retirement, no action is necessary.


Your computer
What changes?
On or shortly after your retirement date, your computer will be collected by OIT, the hard drive will be “cleaned,” and the computer will be placed in our hardware pool.

What should I do?
If you have personal files stored on your computer’s hard drive, you should copy these to an external hard drive or flash drive before your retirement date, so you can then copy them to your personal computer.

Note: If you have questions or difficulties related to any of the actions above, please contact the OIT Technology Support Center for assistance at least two weeks before your retirement date so we have time to work with you on these items prior to the date these changes take effect.

Retirees who continue to work (this applies primarily to faculty)

If you are continuing to work after retirement, there are three situations that can apply:

  1. You will be in an “employed” status , such as for teaching, sometime in the next full semester.
    What should I do?
    You MUST let HR know that you will be teaching or otherwise working, and when. You will be placed in a special status that will allow your IT privileges to continue until you are given the “employed” status that goes along with your teaching*.

    * Please note:
    1. If you are retiring effective May 31, we will “bridge” you for an assignment that is expected to begin in fall semester of that same calendar year
      • if that employment situation does not occur, you will be returned to retirement status and lose your technology access as of October 15 of that fall semester
      • you will NOT be notified of this change before it occurs
    2. If you are retiring effective December 31, we will “bridge” you for an assignment that is expected to begin in the spring semester immediately following that date
      • if that employment situation does not occur, you will be returned to retirement status and lose your technology access as of March 15 of the spring semester
      • you will NOT be notified of this change before it occurs

  2. You may be in an “employed” status, such as for teaching, at some time in the future, but after the next full semester
    What should I do?
    When you sign employment paperwork for that future assignment, your access to technology will be re-established as appropriate for that assignment. Until then, your status will be that of a retiree, rather than an employee. The items in the first section of this document apply in that case.


  3. You are doing work in or with a department, but not in an “employed” status.
    What should I do?
    Have someone in your department (your chair is the best choice in most cases) establish you as an Educational Affiliate; this status will allow you to continue to use the network and other applications.
