Printer Purchase and Management Standards

Faculty/Staff Printer Purchases

Why We Have this Standard:

This standard is in place to offer printers that satisfy most end user printing needs while maximizing cost efficiency and environmental sustainability. This standard also lays the foundation for effective printing management practices at the individual print level. The most important principles underlying this standard are:

  1. Reduction in power consumption (reduced carbon footprint) by reducing our total number of printers and deploying modern, ENERGY STAR certified output devices.
  2. Reduction of paper consumption by driving efficient printing habits by deploying devices that support duplex printing and enabling duplex printing by default.
  3. Reduction of waste
    1. Deploy devices and consumables that are produced using zero waste-to-landfill manufacturing practices (where available) and packaged efficiently and are recyclable.
    2. Deploy devices that utilize their consumables in an efficient manner, including the elimination of solid ink and other wasteful technologies.
  4. Reduction in cost by offering a standard suite of printers covering most needs for individual and departmental printing. Costs can be negotiated based on expected volume of purchase institution-wide and other considerations, driving the cost of individual printers down.
  5. Reduction and improvement in support efforts
    1. Standard operating instructions and FAQs can be maintained for a standard suite of printers.
    2. Problems are easier to troubleshoot and resolve when support technicians can gain experience working with a smaller variety of printers.
    3. Devices in standards list have been reviewed for ease of use and reliability.

Responsibilities Associated with this Standard:

  • OIT and Purchasing: maintain a current list of reliable, cost-efficient printers that meet most individual office and departmental printing needs.
  • OIT and Purchasing: facilitate the process of handling exceptions, when they are approved.
  • OIT: provide basic documentation and troubleshooting support for standard printers.
               Note: OIT will not repair printers; see guidance below on purchasing service contracts.
  • OIT: workstation support practices and images will support this standard by setting defaults as indicated, unless specifically requested by end user.
  • Faculty and staff: avoid the purchase of printers by using networked, departmental printers as much as possible.
  • Faculty and staff: purchase standard printer models unless there is a specific need for a non-standard printer.
  • Faculty and staff: adopt and use best practices for printing in a cost-effective manner.

Printer Standards:

  1. If a printer is purchased for local use (not network connected) a black and white laser printer is recommended.
  2. Ink jet printers may not be purchased. Special-purpose requirements for ink jet printers will be handled as exceptions.
  3. Ricoh has been selected as the vendor for printers because they have an on campus presence and are quickly able to offer initial support and follow up support by a technician when needed. Printers should be purchased with a support contract.
  4. A list of printers available from Ricoh is attached. Ricoh pricing is from their contract with the State of Indiana. Printers purchased by Indiana State departments must be selected from this list unless there is a departmental or discipline-specific need requiring an exception.
  5. All printers purchased should have duplex capability.
  6. Exceptions must be approved at the Dean, AVP, or VP level after a review by OIT.

Print Management Standards:

  1. Printer and copier default will be set to black and white on ISU workstations.
  2. Printer default will be set to duplex on ISU workstations.
