Blackboard Course Site Retention Procedure

Purpose, Scope, and Objectives
The purpose of this standard is to define the duration of course availability and course data storage on the Blackboard, Collaborate, and Tegrity systems at Indiana State University. The deletion of expired courses in Blackboard is necessary to maintain a manageable database size with consistent speed and performance. Course instructors will be notified multiple times well in advance and given explicit instructions for archiving their course content before any data is permanently purged from the system. This procedure does not apply to developmental course sites. (To request a development course site, please fill out the webform: http://www.indstate.edu/oit/about/bb-acct.php.)

Procedure Content and Guidelines
Blackboard course sites, as well as associated Tegrity and Collaborate content, will be available within Blackboard for a period of eighteen (18) months from the end date of the term in which they were taught. After that time, the course sites will be removed from the Blackboard system.

  • Developmental Site
    Developmental courses will not be subject to this procedure. Courses taught on a rotation longer than eighteen (18) months should have an associated developmental course site which contains all of the course documentation.

    A developmental site will store all the associated material for a course, allowing relevant files to be copied into each session. This method will preserve space better than archiving, and will provide more fluid functionality than copying a course through multiple semester iterations. Developmental sites will not be deleted except upon the request of the instructor. (To request a development course site, please fill out the webform: http://www.indstate.edu/oit/about/bb-acct.php.)
  • Archiving Old Courses
    Instructors are also encouraged to create and keep a local archive of their own courses, as well as the original of all files used by the course. Storing these files on both a computer hard drive and a removable storage device will help prevent the files being lost. However, it is important to note that courses from previous versions of Blackboard may not be compatible with future versions.   • Exception List
    Each semester, at least two months before the deadline, academic departments will be provided with a list of courses scheduled for deletion. The departments will then have the opportunity to specify which courses should be exempted from that semester’s deletion. Specifically, departments should exempt courses whose instructor is on sabbatical, or courses on a rotation longer than three semesters that do not have an associated developmental site.
  • Student Data Retention
    The University is required by law to maintain student activity information for a certain period of time in excess of eighteen (18) months. This requirement is fulfilled by reporting done with the oversight of the Financial Aid, Registrar, and Distance Education offices. The Blackboard Course Site Retention Procedure does not impact those reporting mechanisms.

Communications
Each term, announcements will be made regarding the removal dates for courses eighteen (18) months old. Announcements will be sent via email to all faculty, Communications & Marketing Global email, and an institutional announcement in Blackboard. Announcements will be sent two (2) months, one (1) month, two (2) weeks, one (1) week, and one (1) day prior to deletion. All announcements will include instructions for archiving courses. Additionally, all instructors will receive a list of their courses that are scheduled for deletion two months prior to the deletion date.
